SCHEDULE A to the AGREEMENT between Metro Theatre and the Publicist This Schedule shall form part of the AGREEMENT dated [date] The Publicist is appointed by, and is responsible to, the Board of Directors of Metro Theatre, reporting through the Board Publicity Liaison. GENERAL DUTIES Analyzes, and periodically reviews, the marketing needs of Metro Theatre, using input from the Board and Theatre staff, in order to develop and coordinate a comprehensive and consistent publicity and advertising strategy; Reviews the general public perception of Metro Theatre, and the entertainment market climate, in order to effectively position the publicity message and activity; Develops and maintains Media kits and other general promotional materials to sustain a consistent positive identity and image of Metro Theatre; Supervises and coordinates the graphic design of all publicity and promotional materials, to achieve a high-quality, recognizable and consistent brand image for Metro Theatre, preparing and supervising the design, printing and production of consistent publicity materials (posters, flyers, handbills and programmes); Establishes a personal network of relationships with representatives of the Media (press, radio, television) to gain recognition for Metro Theatre, and to facilitate the distribution and promotional use of Media Releases and other communications; and maintaining these contacts by email, telephone and in person; Constructs a workable calendar of deadlines for copy, to maximize exposure in Public Service Announcements; Maintains contact, and the supply of promotional materials, to established contacts at BC Ferries, Tourism Vancouver, hotel and restaurant connections, independent cinemas, and other theatre companies; Liaises with the Theatre Manager and General Secretary to obtain feedback from promotions, coupon campaigns, and complimentary tickets . DUTIES FOR INDIVIDUAL PRODUCTIONS Reads the script and becomes familiar with the play; Works with the Director and Producer to develop synopsis copy about the play (in varying lengths for individual applications); Receives copies of biographical notes of cast and crew, to exploit any media links; Specifically tailors promotional materials into a Media Release for the production, including play synopsis and background information on the work itself, the playwright, the director, and/or the actors, as opportunity arises; Distributes Media Releases, together with photographs, to all media contacts, with subsequent follow-ups; Negotiates and buys space/time in appropriate advertising media, within the budgetary parameters set by the Board; Provides coded Complimentary Vouchers to media contacts where required; Arranges interviews, excerpt recordings, television shoots, for ‘community news’ pieces when and where available, providing these do not materially interfere with the production of the show, and are approved by the Production Manager; Contacts theatre critics to solicit attendance and subsequent review of the show.
